About the Archives & Special Collections Interest Group

This section is for special collections librarians, archivists, and librarians responsible for manuscripts, rare books, and other "special" collections or those who are interested in such materials. 

The section's goals are to provide a forum to discuss issues related to special collection and archives; to provide a means of communication for members of the field; and to sponsor workshops and conference sessions on issues related to local collections as well as special collections and archives in general. 

Along with creating a group to allow experts to network, a vital goal is to connect experts with librarians responsible for special materials but without prior training or experience. Speakers will be invited to share knowledge on specific subjects. Our activities include sponsorship of programs at the MLA conferences on such diverse topics as rare book cataloging, finding aids, bibliographic instruction, library outreach, conservation/preservation methods and book repair. Activities also include day-long stand-alone programs on topics of current interest including digital archives, electronic preservation, arrangement and description, and web design for archivist to name a few.

Interest Group Bylaws (adopted ...)

Article 1. NAME. The name of this organization is the Archives and Special Collections Section (ASC).

Article 2. PURPOSE. This section is for special collections librarians, archivists, and librarians responsible for manuscripts, rare books, and other "special" collections or those who are interested in such materials. The section's goals are to provide a forum to discuss issues related to special collections and archives; to provide a means of communication for members of the field; and to sponsor workshops and conference sessions on issues related to local collections as well as special collections and archives in general. Along with creating a group to allow experts to network, a vital goal is to connect experts with librarians responsible for special material but without prior training or experience.

Article 3. MEMBERSHIP. Membership in ASC is open to persons who pay dues to the Maine Library Association and enroll as members of ASC. The right to vote and hold office is restricted to members of ASC.

Article 4. OFFICERS. The officers shall be: Chairperson, who is responsible for calling meetings of the officers, chairing the annual business meeting, representing ASC on the MLA Executive Council and Conference Planning Committee. Treasurer who is responsible for keeping accurate accounts of the Section's funds. Officers shall serve for two years with elections held at the annual business meeting. The term of office will begin after the annual business meeting at which an officer is elected, and run until the end of the annual business meetings two years later.

Article 5. FISCAL YEAR. The fiscal year shall be January 1st through December 31st to coincide with that of MLA.

Article 6. MEETINGS. There will be at least one meeting a year held at the annual conference at which section business will be conducted. This meeting may also be used to present special programs, workshops, or discussions.

Article 7. AMENDMENTS. Amendments to the by-laws may be proposed by any member at any time and discussed at the annual business meeting just by electronic mail or regular mail. They will be passed by a two-thirds vote held at the annual business meetings or conducted by electronic mail or regular mail.
